Restaurant incident log UK

An incident log is a dated record of what happened, who was involved, and what you did next. Insurers, licensing officers, and area managers ask for it when something goes wrong. Notes on the back of a docket go missing between shifts.

What belongs in the incident log

Operational incidents: a slip in the pass, a fight in the garden, a walk-out, a near-miss with a delivery. Capture what occurred, who reported it, and what you did. Maintenance faults can sit in the same Log Book as a separate maintenance record — do not bury a broken fire door only in an incident note if it is also a fire-safety defect.

When the insurer or licensing officer asks

They want a dated story with a name on the line, not a WhatsApp thread. Paper notes on the back of a docket are the same failure mode as an SFBB pack filled in at 11pm.

Reportable injuries still go to HSE under RIDDOR. The internal log does not replace that. HSE RIDDOR is the source.

Questions about incident logs

What should a restaurant incident log include?
When it happened, where, what occurred, who reported it, who was involved, and what action you took. Keep it factual. RIDDOR-reportable injuries still have to be reported to HSE — an internal log is not the HSE report.
Is an incident log a legal requirement?
Some incidents have their own duties (RIDDOR, licensing, data breaches). A searchable operational log is how most venues answer insurers and licence reviews. It is not a substitute for those statutory reports.
